Human Resources Generalist
Rubin and Rudman LLP is seeking a Human Resources Generalist. This person will also be an integral member of the Human Resources Department, providing payroll and benefits administration and support in all functional HR areas. This is an Exempt Manager position reporting to the Human Resources Director and will require working on-site at our Boston office at least four days per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide support in all functional areas of the Human Resource Department including, but not limited to, benefits administration, worker’s compensation, recruitment, personnel records, payroll, HRIS maintenance and reporting, and employee relations.
- Manage and administer the employee benefit programs including health, dental, life, short and long-term disability, supplemental insurances, workers comp, and 401(k) for all benefit eligible employees by ensuring that all benefit databases are accurate and up to date and tracking billing/payments of all benefit programs. Serve as a resource to managers and employees regarding benefit program questions.
- Responsible for month-end review of benefits invoices.
- Coordinate leave processes for all STD, LTD, Parental, PFML and FMLA leave with firm and third-party administrators. Track absences and work with administration and employees through the process.
- Process employee data accurately through ADP and partner with HR and Accounting on documentation needed for filing.
- Process non-exempt staff time and attendance data in ADP, including reviewing and approving timecards, timecards exceptions and overtime.
- Process bi-weekly payroll and semi-monthly payroll through ADP, accurately and on time, and manage payroll records.
- Manage requests for vacation, sick, and personal leave.
- Create and generate payroll related reports through ADP.
- Assist with the recruitment process for new staff, i.e. job postings, scheduling interviews, orientation and onboarding materials, background checks.
- Coordinates and conducts new hire onboarding and orientation.
- Assist in designing, implementing, and administering policies; respond to inquiries regarding policies.
- Assist Chief Operating Officer, HR, and Operations Directors with the administration of annual performance reviews.
- Assist the Director of Human Resources in their responsibility for adherence to employment law, in addition to ensuring compliance with FMLA, ADA, FLSA and other applicable areas of employment law.
- Manage all paperwork and compliance including background checks, medical paperwork, I-9s, etc. and maintain employee records and HR databases.
- Manage annual reporting for employee benefits, including ACA, 1099, 401K, Profit-Sharing, Workers’ Compensation, Unemployment, PCORI, etc.
- Respond to employee inquiries, processes verifications of employment requests, and assist with other employee related matters.
- Collaborates with Operations Team on employee wellness programs, administrative training and development, and retirement and benefits education.
- Ensure required employment posters are up to date and maintained properly.
- Provide backup of duties for HR and Operations Director.
KNOWLEDGE, SKILLS, AND ABILITIES:
- A minimum of five years of experience administering payroll and benefits programs and working directly with vendors and employees.
- A bachelor’s degree or professional HR certification is preferred.
- Solid understanding of MA compliance laws with regards to payroll and benefit programs.
- Proven ability to drive change and implement new processes and software systems.
- Ability to listen and respond to employee inquiries.
- Strong technical skills including experience with ADP or other related HRIS/payroll software.
- Strong Microsoft Office skills.
- Ability to collaborate with other Administrative Departments and work toward shared visions.
- Excellent attention to detail.
- Ability to maintain the highest level of confidentiality.
