Elder Law Legal Administrative Assistant
Rubin Rudman is seeking a self-motivated, experienced Legal Administrative Assistant to support attorneys in the Elder Law Department. The Elder Law Department works as a team and is searching for someone to assist with the smooth functioning of the office and department.
Responsibilities
- Type correspondence, memoranda and other legal documents in a timely manner with a high degree of accuracy.
- Maintain files and binders, both electronic and physical, including periodic reviews and archiving older files as well as preparing files to be closed.
- Process incoming mail and outgoing deliveries.
- Input attorney timesheets in a timely manner.
- Process, proof, and review a high volume of bills and invoices.
- Manage calendars for attorneys and prepare files and documents for meetings.
- Open new case files and conduct conflict of interest checks.
- Maintain positive contact with clients, attorneys, and staff and observe confidentiality of attorney-client matters.
- Greet clients in the office and schedule and prepare for client meetings.
- Serve as main point of contact for Westborough office and coordinate with Boston office as needed.
- Support attorneys in various family court matters.
Knowledge, Skills, and Abilities
- A minimum of two years of experience in a Legal Administrative Assistant role.
- Interpersonal skills necessary in order to communicate with a diverse group of attorneys, clients, and staff and provide information and “customer service” with courtesy and tact.
- Ability to organize and prioritize multiple tasks in a timely manner.
- Experience using Microsoft Word, Excel, Outlook and other software products.
- Experience using a document management system and billing software strongly preferred.
- Strong attention to detail and verbal and written communication skills.
Compensation
The firm’s expected salary range for this position is $75,000 – 105,000 annually. Actual salary will be determined based on education, experience, internal equity, and other job-related factors, consistent with applicable law.
