Probate Litigation Paralegal

Rubin and Rudman LLP is seeking a self-motivated Probate Paralegal to assist the attorneys in the Trusts and Estates Department with the smooth functioning of the Department. The Paralegal will prepare court filings, interact with various courts, draft motions and assist the attorneys in all aspects of litigation and ensuring the attorneys are prepared for court appearances. The Paralegal must maintain positive contact with attorneys and staff and observe confidentiality of client and firm matters.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepare all Probate Court filings, including documents related to estate administration, trust matters and guardianship/conservatorship cases. Occasionally assist with preparation of motions, affidavits and other written pleadings.
  • Prepare correspondence to clients, interested parties, courts and opposing counsel.
  • Coordinate with various courts on e-filing, mail filing and hand-filing.
  • Process required notice, including newspaper publications and coordinate service on interested parties.
  • Follow-up with various courts on outstanding matters, and use of the Virtual Registries.
  • Contact financial institutions to obtain financial information and documentation.
  • Obtain miscellaneous real estate and tax documents.
  • Monitor and maintain discovery trackers.
  • Create and maintain pleadings indexes.
  • Organize, scan, copy, and fax legal documents in a timely manner.
  • Record billable time daily.
  • Attend Paralegal and Staff meetings.
  • Handle special projects or additional responsibilities as assigned from time to time by the attorneys in the Department.

KNOWLEDGE, SKILLS AND ABILITIES:

  • A minimum of 1 year of experience with all aspects of the probate process.  Litigation experience a plus, but not necessary.
  • A minimum of 3 years of progressively responsible related work experience necessary in order to gain the expertise needed to work with clients in difficult, stressful and emotional situations.
  • Ability to demonstrate impeccable integrity in personal and fiduciary matters.
  • Interpersonal skills necessary in order to communicate with a diverse group of attorneys, staff and clients and provide information and “customer service” with courtesy and tact.
  • Working knowledge of excel.
